Privacy Policy

1. Scope

This policy describes how CLV Media, LLC d/b/a FilmRoom collects, uses, and shares information in connection with filmroomclips.com and the FilmRoom platform. The Service is intended for adults 18 and older in the United States; we do not knowingly collect information from anyone under 18, and any such account will be deleted.

2. Information we collect

• Identity and eligibility: legal name, display name, email, phone (optional), date of birth, NCAA-athlete status, and agreement signature timestamps. Date of birth and athletic status are collected solely to enforce campaign eligibility rules and are never used for advertising.
• Account and platform data: social media handles and public channel/account URLs you register. We never collect passwords or private credentials.
• Performance data: posted clip URLs, public view/engagement statistics (via official platform APIs or your self-reports), campaign enrollment records, compliance evaluations, and training/quiz completion records.
• Financial evidence: payout confirmations you submit (screenshots, CSV exports, forwarded notifications) used to reconcile expected versus actual campaign payouts; and, where we pay milestone bounties directly, tax forms required by law.

3. How we use information

To operate the Service: enforce eligibility rules, generate and check clips against campaign requirements, track performance, reconcile payouts, compute leaderboards and progression, detect fraud and artificial engagement, communicate with you (including via Discord notifications you opt into), meet legal obligations (including tax reporting thresholds), and produce aggregated, de-identified analytics and marketing statistics that do not identify you without your written permission (see §5).

4. What we do NOT do

We do not sell your personal information. We do not share it for cross-context behavioral advertising. We do not display third-party ads. We do not use your date of birth or athletic status for any purpose other than eligibility enforcement and legal compliance.

5. Sharing

We share information only with: (a) service providers who process data on our behalf under contract (hosting and database infrastructure, email delivery, error monitoring); (b) a campaign sponsor, only to the extent of content and performance data attributable to that sponsor’s campaign; (c) authorities when required by law; (d) a successor entity in a merger or acquisition, subject to this policy. Identifiable results, clip stills, or screenshots are used in marketing only with your written permission, recorded in our systems.

6. Retention

Operational records (performance snapshots, payout evidence, compliance and integrity records) are maintained as append-only audit data and retained for as long as needed for the purposes above, tax and legal requirements, and platform integrity. Account identity data is deleted or de-identified upon verified deletion request, except where retention is legally required.

7. Your rights

You may access, correct, export, or request deletion of your personal information by emailing privacy@filmroomclips.com. Depending on your state of residence, you may have additional rights under state privacy laws (including the right to know, delete, correct, and non-discrimination). We honor verified requests within the timeframes required by applicable law. We do not respond to browser “Do Not Track” signals because we do not track users across third-party sites.

8. Security

We use industry-standard safeguards including encrypted transport, role-based access controls with row-level security, and secret management that keeps credentials out of application databases. No system is perfectly secure; we will notify affected users of a breach as required by law.
